The VW&EU App is the official HR application for Volkswagen Brazil, designed for over 14,000 employees. It centralizes essential employee services and internal communication within a single mobile platform. This app was developed to modernize access to personal and HR information, offer self-service features, and facilitate daily operational routines with an intuitive digital experience.
About The Project

I was responsible for authoring the technical proposal that Volkswagen selected alongside the commercial offer—successfully competing with other providers.


I served as Project Manager, UX/UI Lead, and Engagement Manager for the team responsible for the entire app lifecycle—from discovery and stakeholder alignment to delivery and iteration. I managed a multidisciplinary team of five professionals and collaborated directly with HR leadership, IT teams, developers, and end users, ensuring alignment of business goals with technical feasibility and user needs.

PROJECT CHALLENGES
Volkswagen's HR processes were traditionally fragmented across legacy systems and intranet portals. Employees had limited and inconsistent access to essential information, often requiring manual intervention. The challenge was to build a mobile-first solution that would consolidate all HR services into a single, user-friendly experience—meeting both compliance standards and the expectations of a digitally mature workforce.
PROJECT GOALS
- Unify HR tools and services in a single mobile app

- Improve user engagement and satisfaction across all employee levels

- Provide transparency and autonomy in HR operations (e.g., time off, benefits, payslips)

- Ensure accessibility and responsiveness across devices

- Create a scalable solution aligned with Volkswagen’s design system and digital roadmap

- Enable the continuous rollout of new features via agile squad

PROJECT MANAGEMENT
As Project Manager and Engage Manager, I managed all delivery workflows to prioritize and monitor sprint velocity and backlog alignment with stakeholders.
JIRA

Although Volkswagen initially drafted the user stories in a simplified format, I often stepped in to fulfill the role of Product Owner, rewriting and structuring them properly within Jira, which served as my main project management tool throughout the engagement.

To ensure efficiency and quality across the product lifecycle, as Project Manager and Engage Manager, I managed a dedicated HR Squad composed of:

ORGANIZATION
As Project Manager and Engage Manager, I maintained full financial control of the project, including forecasting and budget reporting, while also preparing executive reports detailing KPIs, budget health, sprint outcomes, and roadmap progress. I structured routines for daily, sprint reviews, and retrospectives.
E-monitoring and SAP were used to organize the finances.
VICE PRESIDENT'S REPORT

One of the most challenging parts of the project wasn’t pushing code or aligning with stakeholders—it was surviving the internal financial reporting reviews. As shown in this screenshot, I presented the monthly delivery and forecast reports to Adriana Oestreich, Capgemini’s VP of Operations and Chief Delivery Officer, and Gleydison Farias, Director of Delivery Excellence. Notice how red my face is? That’s not a filter—it’s the natural consequence of justifying every line item under intense scrutiny! Humor aside, these sessions were critical to keeping the project financially healthy, on track and accountable at the highest level of delivery governance.

Design, Prototypes & Tests

About The Project

We designed an intuitive interface focused on clarity, accessibility, and mobile usability. The visual language followed Volkswagen’s global brand standards and design system. Wireframes and prototypes were validated with real users across departments before development.

USERS TEST
Midway through the project, we conducted a usability test to validate and refine our prototypes. Real employees interacted with the new features, allowing us to gather insights, identify friction points, and make precise adjustments—ensuring a more intuitive and effective user experience before final delivery.
RESULTS ABOVE
The new Volkswagen Products feature revolutionized the experience for over 14,000 employees, allowing them to fully customize, simulate, and initiate the purchase of a brand-new vehicle directly through the app. From model selection to colors and add-ons, the process ends with a downloadable PDF and dealership referral—plus full order tracking within the app. Try the prototype above
DATA VISUALIZATION
I personally designed the Tableau dashboard that connects with Firebase and Analytics to visualize real-time usage data from the VW&EU HR app. This dashboard became a key tool for tracking user engagement and supporting data-driven decisions across HR operations.
PROPOSAL AFTER PROJECT

About The Project

Our work didn’t stop after delivering all the core features. We went further by facilitating a discovery workshop to explore what the app could become if redesigned from scratch—this time leveraging emerging technologies like AI. As part of this vision sprint, we designed a new visual concept for the app and prototyped an AI-powered HR assistant, opening the door to a smarter, more conversational user experience for Volkswagen employees.

NEW PROPOSAL
To conclude this case, we consolidated all insights from the discovery workshop into a strategic proposal for the next-generation VW&EU app, envisioned for rollout in 2026. This proposal introduces a completely redesigned experience powered by artificial intelligence, with a new digital assistant named EdgaHR—built to transform employee interaction through smart, contextual, and humanized conversations. This evolution marks the next step in Volkswagen’s digital HR transformation journey.
